Data Retention Policy
Last Updated: June 8, 2026
This Data Retention Policy explains how Domain collects, stores, and removes personal and operational data across its services. By using our platform, you acknowledge the practices described in this document.
1. Purpose and Scope
This policy applies to all data processed by Domain in connection with the delivery of its online webinar platform and related services. It covers data collected from registered users, visitors, and participants across all platform features.
The purpose of this policy is to ensure that data is retained only for as long as necessary to fulfil the purposes for which it was collected, to meet legitimate operational needs, and to comply with applicable legal obligations.
2. Types of Data We Retain
2.1 Account and Registration Data
This includes information provided during account creation, such as name, email address, and password credentials. This data is retained for the duration of the account and for a defined period following account closure.
2.2 Usage and Activity Data
We collect data related to how users interact with the platform, including session activity, feature usage, and access logs. This data helps us maintain service quality and is retained for a limited operational period.
2.3 Communication Data
Messages, support requests, and correspondence submitted through the platform are retained to enable effective customer support and resolve disputes.
2.4 Payment and Billing Data
Transaction records and billing information are retained as required to fulfil financial reporting obligations and to address potential billing inquiries.
2.5 Technical and System Logs
Server logs, error reports, and system diagnostics are collected automatically. These are retained for short periods to support troubleshooting and platform stability monitoring.
3. Retention Periods
Retention periods are determined based on the nature and purpose of each data type. The following general timeframes apply:
- Active account data — retained for the full duration of account activity
- Inactive account data — retained for up to 24 months following the last recorded account activity, after which accounts may be scheduled for deletion
- Support and communication records — retained for up to 36 months from the date of last interaction
- Billing and transaction records — retained for up to 7 years to meet standard financial record-keeping requirements
- System and access logs — retained for up to 90 days
- Anonymised and aggregated analytics — may be retained indefinitely as they do not identify individuals
Specific retention periods may vary depending on the context of collection and the applicable legal framework. Where a longer retention period is required by law or contract, that period will take precedence.
4. Criteria for Determining Retention
When establishing retention periods for any category of data, we consider the following factors:
- The original purpose for which the data was collected
- Whether continued retention serves a legitimate business or legal need
- The sensitivity of the data and the potential risk from prolonged storage
- Whether the data is subject to contractual obligations
- Applicable legal, regulatory, or audit requirements
5. Data Deletion and Disposal
When data reaches the end of its retention period, it is either securely deleted or anonymised so that it can no longer be linked to an individual. Our deletion procedures are designed to prevent unauthorised recovery of removed data.
Users who wish to request deletion of their data prior to the end of the standard retention period may do so through the account settings panel or by contacting our support team. Such requests will be evaluated in accordance with applicable rights and any overriding legal obligations.
6. Data Held by Third Parties
Domain may share data with third-party service providers who assist in the delivery of platform functionality. Such providers are required to handle and retain data in a manner consistent with this policy and any applicable data processing agreements. We do not authorise third parties to retain personal data beyond what is necessary for the services they provide.
7. Backups and Archived Copies
Data may temporarily exist within backup or disaster recovery systems beyond the standard active retention period. Such copies are isolated from regular processing operations and are subject to their own deletion schedule, typically within 90 days of the original data being marked for removal.
8. User Rights Regarding Retained Data
Subject to applicable law, users may have the right to:
- Access a copy of their personal data held by Domain
- Request correction of inaccurate or incomplete data
- Request deletion of data where no overriding retention obligation applies
- Object to certain types of data processing
- Request that data be provided in a portable format
To exercise any of these rights, please contact us using the details provided in the Contact section of this policy.
9. Security of Retained Data
Domain implements appropriate technical and organisational measures to protect retained data against unauthorised access, accidental loss, or destruction. These measures are reviewed periodically and updated in response to identified risks or changes in the technology environment.
10. Changes to This Policy
We may update this Data Retention Policy from time to time to reflect changes in our practices, operational requirements, or applicable obligations. When changes are made, the updated date at the top of this document will be revised. Continued use of the platform following such changes constitutes acknowledgment of the revised policy.
